Feature Administrator's Guide: Maintenance

As the system administrator you will need to do minor maintenance to your mindSCOPE database from time to time to keep your system running smoothly. Most of this maintenance requires only a couple of mouse clicks and takes seconds to run. These options include checking consistencies, purging, and compacting and are all located under the Maintenance menu option in the mindSCOPE's main screen.

Reset Static Table Checksum

A checksum is a unique ID number given to each field in a table. This checksum number is derived from a mathematical formula based on the data in each field. Every time a field is saved mindSCOPE calculates and then assigns it a checksum.

The Reset Static Table Checksums function is used when neither the verification nor force of static tables are working. A problem can arise when a user makes a change to a table outside of mindSCOPE (e.g. MS Access). These changes will be accepted into mindSCOPE but they will have no accompanying checksum, making the results unpredictable.

Reset Static Table Checksum resets and then recalculates the checksum for ALL entries in all tables, so that every entry, both those entered within mindSCOPE and from the outside, now has an updated and correct checksum, guaranteeing that all information will be reset in a standard form the next time users log in to mindSCOPE. This function can only be performed by the Administrator because it affects all workstations, creating a global change to the system.

There are options that all users can access:

  • Verify Local Static Tables
  • Force Local Static Table Download

There are also options that only the System Administrator can access:

  • Reset Static Table Checksum
  • Check ALL SKILLS Table Consistencies
  • Check PARIS SKILLS Table Consistencies
  • Check Client Contact Table Consistencies
  • Reset Global Permissions
  • Purge Audit Log
  • COMPACT Database

First mindSCOPE remaps the checksum values for each table; then it downloads these values to the database. These changes will take effect at each workstation the next time each user logs in.

1. From the Menu Bar click on Maintenance.
2. Arrow down to Reset Static Table Checksum.
3. Click on it.
4. To continue click on Yes.

Check Client Contact Table Consistencies

This function will check the consistency of the Client Contact table. If mindSCOPE finds an inconsistency it will repair it automatically.

Once you click on "Check Client Contact Table Consistencies" mindSCOPE pops up this warning.

1. From the Menu Bar click on Maintenance.
2. Arrow down to Check Client Contact Table Consistencies.
3. Click on it.

mindSCOPE will then search your database and verify the consistency of your files. MindSCOPE's progress is displayed in the bottom left corner.

When finished, mindSCOPE will inform you of any inconsistencies that it found.
